How do I view a home with Mainstay Lettings?

Following the latest Covid-19 guidelines from the government, and subject to stringent social distancing measures, we are open for in-person tours, by appointment only. We are committed to utilising 3D tours where possible so you can view safely from a distance and help us with our carbon footprint reduction. You will also need to bring a face mask and should not attend the viewing if you are displaying any symptom of illness.



Do I need to bring anything to the viewing?

Due to the UK Right to Rent policy, we are required to obtain and check all original identification of prospective tenant(s) that to show that they are legally allowed to live in the UK. These documents are normally checked prior to you moving in, so please be prepared to show your identification to our representative. Documents must be obtained and checked for all tenants wishing to live in the home. Should a tenant not present at a viewing or virtual viewing, a copy of the document must be sent via email to the team, who will then be required to see the tenant and check the document via Skype or FaceTime before agreeing to the contract. Documents will also need to be verified in person upon arrival for move-in.



How do I reserve a home?

Once you have chosen your new home, we ask that you complete the reservation & rental forms which are then checked by the team. Once agreed, we will then invite you to onboard through our easy resident application portal.

A reservation payment of one week’s rent is required to secure the home and start the referencing process (this amount will then be applied to your first month’s rent it is not an additional payment). You can pay this online through the portal.




You will be required to go through a simple online referencing process, carried out by our third-party reference company (typically Van Mildert) who will carry out the assessment of your eligibility to enter into a tenancy agreement. The process time is mainly dependent on your ability to complete the online application form, and on your referees’ suitability and availability to respond. However, this usually takes approximately 3-7 business days. As a rule of thumb you should be earning 2.5 X the rent or have a guarantor earning 3 X the rent.



Deposit and payments

Once all applicants have passed their referencing checks, your move date and check in will be confirmed and the balance of the monies required to move into your home will be requested to be paid on the same portal.



What is your cancellation policy?

Should your application be successful, the holding deposit may be credited to the first month’s rent. This payment does not oblige us and/or our client to let the property concerned or any other property to you. Current legislation stipulates that the necessary paperwork should be completed within 15 days or such longer period as might be agreed. If at any time you decide not to proceed with the tenancy, then your holding deposit will be retained by Mainstay Residential Ltd. By the same token, if during that period you unreasonably delay in responding to any reasonable request made by us and/or agent, and if it turns out that you have provided us with false or misleading information as part of your tenancy application or if you fail any of the checks which the Landlord is required to undertake under the Immigration Act 2014, your holding deposit will not be returned. It will be retained by the Agent and your Landlord. However, if the Landlord decides not to offer you a tenancy for reasons unconnected with the above then your deposit will be refunded within 7 days. Where, for whatever reason, your holding deposit is neither refunded nor credited against any rental liability, you will be provided with written reasons for your holding deposit not being repaid.



What is the minimum and maximum length of contract?

Our tenancies are usually for a fixed term of 12 months, however, longer can be negotiated upon request; if you require a shorter tenancy, speak to the team who can assist on arranging a shorter term tenancy (short term tenancy premiums could apply). There will also likely be options for renewing your lease agreement, following the expiration of your Initial Term.



Do you accept guarantors?

Depending on the results of your referencing and affordability criteria assessment, the option of Guarantors will be available. Further referencing and qualifying criteria will apply.

(Guarantor’s income must be 3 times the annual rent).



I am a student, can I rent with you?

All individuals over 18 years of age are welcome to apply to rent one of our home. Further qualifying criteria will apply with advance rental payments required or perhaps a guarantor.




There are no fee charges, just a reservation payment to secure the property you have chosen, which goes towards your first rental payment subject to referencing. Initial payments are made on our portal, all other rental payments by Direct Debit.

The tenancy deposit is usually 5 weeks rent, which is held in one of the government backed schemes for the duration of the tenancy and refundable subject to the condition of your home at the end of the tenancy compared to the condition at the beginning of your tenancy.



How do I get my deposit back?

We will process your deposit return within 14 working days of the end of your tenancy subject to any deductions.



Do you offer a deposit alternative?

Some Landlords allow us to provide Flatfair, who offer a simple, safe and affordable alternative to tenancy deposits. Instead of paying a deposit at the start of your tenancy, If you wish to take advantage of this option please visit or talk to a member of our team.



What method of payments can I use?

Our preferred method of payment of monies required to move in is telephone payment. Your rent payments can be completed via direct debit.



What is the move-in process?

Once the application process is complete and reference checks passed, our team will get in touch to discuss the tenancy agreement. Once all is agreed and the contract is signed, we will schedule a ‘moving in’ appointment with you.



What is the notice period for moving out?

We require 2 months’ written notice of your intention to vacate the property at the end of your tenancy. However you can continue residing in your home for another fixed term by signing a renewal. If you wish to move out before the end of your tenancy, an early termination penalty may apply.



Do I have to pay for a cleaner when moving out?

We offer preferential rates in cleaning services, so these will be available for your convenience, the home should be cleaned to a professional standard or better by a professional company at the end of the tenancy.



Do I have to pay for an inventory?

No, the cost of the inventory at the beginning of the tenancy and end are covered by the Landlord.

If there are any damages, not associated with ‘fair wear and tear’ to the property picked up by the independent inventory company, you will be asked to cover these charges.



Will there be a team on site?

Depending on where your chosen home is, our on site teams are there to make the difference in your living experience. Otherwise we are a national tenancy management business with offices nationwide.



Do you accept pets?

Most homes that we are involved with allow pets subject to final Landlord consent.



Is there help 24/7?

Our management team is available daily from 9am to 5.30pm, after which we hand over to our trusted third-party security services. If applicable, our on-site team will, however, be available on-call for any emergencies that may arise, such as flooding, fire or power outages or any other major incidents.
